At this time, there is the base product -- the Policy Analyzer -- and 3 add-on products ... the  E-Mail Manager, MS Word Integrator and Prospect Manager.  This page is to give you a brief overview of the Policy Analyzer and each add-on.

The Policy Analyzer

With many agencies realizing they can't get the reports they need to truly understand their book of business or to understand what's going on in their agency, not to mention not being able to analyze their book of business, the Policy Analyzer has become a huge hit for InStar users.

There are also a number of agencies that don't realize the value to their agency of being able to analyze their data because they've never had the ability to analyze their data before.  Most management systems simply give you the ability to run industry specific reports and not the key reports that allow you to dig deep into your book of business and see what's really going on.  Once you have the ability to analyze your data, it's amazing how you're able to find black holes, patterns and inconsistencies in your book of business along with new income opportunities.

Let's take a look at the backbone to this system, the report writer ...

The Report Writer:

The reports are based off of client and/or policy information.  You create a query on a field or any combination of fields.  You then choose your sort order for the report by any available     field(s).  This allows you to be as specific as you want and to really fine-tune your reports. 

It's our objective to give you a lot of control over the reports you run and the ability to analyze your data. 

It was also important to make this process very easy, which we accomplished.

You'll notice that you have a lot of fields to query on and sort on giving you the ability to create very specific and detailed reports.  The only limitation you'll have for reports you run is based upon the data you put into InStar and your creativity in designing reports. 

Of course, we'll help you with the creativity part along with making suggestions on how to be more effective in your data entry in InStar.

What's important to realize here, which I know is unique, is you have the ability to create any report you want based off of client and policy information.

And if you're biggest concern here is not knowing what reports to create and how to use the information gained, or how to analyze your data, neither of those things should concern you because we'll show you!

Comparisons:

Once you create the statistical information or reports, you need a place to put that information for future use and referencing.  That's what the comparison window is for. 

You can plug in the month by month numbers or the total.  Each window allows you to name it and describe what information is placed on that comparison window.

You can also checkmark comparison windows to compare the data from one to the other, like new business to renewal business month by month, or one producer to another producer, or this year to last year, to name a few.  There are no limitations to the comparisons you can do.

The Policy Analyzer stand alone is $395 through 12/31/2006.  On January 1, 2007 the price goes to $495.  There are NO month to month support fees.

Why We Added the E-Mail Manager and MS Word Integrator

to a Policy Analyzing Program

Because the Policy Analyzer already captures the client and policy information from your InStar system and with mass e-mailing and the Word integration in InStar not very good, it only made sense to kick it up another notch and add-on these two products.  These two add-on products are very powerful giving you the upper hand over e-mailing and integrated letters, forms, labels and envelopes.

Even though InStar will do mass e-mailing and integrates with MS Word, the E-Mail Manager is a huge upgrades to InStar's ability to do e-mailing where the MS Word Integrator is a great compliment to InStar offering a much stronger mass mailing functionality and integration to envelopes, forms and labels. 

Let's take a look at each of these add-ons starting with the E-Mail Manager ...

The E-Mail Manager -- This is All About Mass E-Mailing

Features:
  • It has a very powerful HTML editor to create outstanding HTML e-mails.  HTML is what is used to create web pages and those beautiful e-mails you receive.  You can include different fonts and font sizes, colors, font attributes like bold and underline, and so much more.  The HTML editor for creating e-mails gives you the same functionality so your e-mails have a flare and personality to them.

  • Create filters on ANY field so only the people you want to receive the e-mail will.

  • Create custom e-mail templates that can sent on an individual bases.  You can merge client and policy information into the e-mail and send the e-mail in a Text or HTML format.

Typical uses for E-Mail Manager include:

  • Thank you e-mails that make specific references to the product purchased or gift received.
  • Custom new product email announcements, personalized based on customer's previous purchases.
  • Appointment confirmations with dates, times and locations.
  • Personalized newsletters, where content varies depending on the reader's interests.
  • You can throw together a simple little newsletter in 15 to 30 minutes that emphasis's the advantages to doing business with you.
  • Create e-mail campaigns keeping your name and the reason your prospects should do business with you in front of your prospects whenever you want.

  • Informing clients of a change in the agency such as a new CSR handling their account.
  • Handling roll overs.

Using the E-Mail Manager Bulk E-mail feature, you can do the following tasks:

  • Choose who receives the e-mail based upon any policy field or customer field or both such as Customers with a Safeco Auto Policy.
  • You can create personalized e-mails pulling in contact & policy information and mass e-mailing them. When you include information in the e-mail specific to the recipient, it personalizes the e-mail to the recipient which causes the recipient to take the e-mail more seriously.

  • Send the same message to each e-mail address on your list or a personalized message using data from client fields, policy fields or both.
  • Specify a filter expression for sending e-mail to a subset of your list based upon client or policy information.
  • Check for duplicate e-mail addresses and send e-mail to unique addresses only.
  • Send e-mail messages in HTML format, plain text, both, or HTML conditionally.
  • If you can send to both HTML and Text the program will determine which format your recipients can receive e-mail by and send just that e-mail format to them.

  • Include multiple attachments with each e-mail message ... you can send the same attachment, or custom attachments with each e-mail message.
  • Specify custom e-mail subject lines for each mailing.
  • Create a log file containing information on whether messages were sent successfully.
  • Update a field in the source datafile that indicates whether an e-mail was sent successfully or to set in motion the next e-mail.
  • Send messages in batches, when sending the same message to each recipient, to speed up the mailing process.
  • Stop and resume a mailing.  For example, if you are sending e-mail to a very large number of recipients, you can stop the job before its completion, and resume the mailing from the stopping point.
  • Send messages containing conditional text.  For example, a customer meeting one set of conditions would get one message, while another customer might get a different message. 
  • You can have conditional paragraphs in the message body.  If a recipient meets a certain criteria it would include the paragraph.
  • Send messages containing pre-defined boilerplate text.

The E-Mail Manager add-on is $195 when purchased with the Policy Analyzer.  There are NO month to month support fees.

The MS Word Integrator

Product Features:

  • The MS Word Integrator allows you to print personalized documents created in MS Word for the current record you're on or for all records in the current query.
  • Can print customized and personalized envelopes.  For example, the envelopes LearnInStar.com prints to mail out training courses on CD are printed with the MS Word Integrator.  Click here for an example (PDF file).  Notice the graphics and merge fields.
  • Any customer or policy field can be merged into the MS Word Document.
  • Create a letter you're mailing to a group of people and an envelope.  When you print both they print in the same order so it's easy to get the right letter into the correct envelope.
  • Because you're using MS Word, the document gains all of the features MS Word offers like character attributes such as Bold, Italic and Underline, graphics can be used, if you have a custom letterhead that can be used.  You can even use tables to block up text, paragraphs and/or bullets.
  • From MS Word, you can print, e-mail or fax the personalized document.
  • Mass mailings are much easier, more professional and actually personalized.
  • Send out agency specific or company specific forms to be filled out.

The MS Word Integrator add-on is $95 when purchased with the Policy Analyzer.  There are NO month to month support fees.

Both the E-Mail Manager and the MS Word Integrator allow you to query on any field or group of fields and sort on a field.  Plus, you can merge any fields into the e-mail message or Word document.

The Prospect Manager

Handling the sales process and staying on top of prospects with InStar is not an easy task!  What's sad is one of the top reasons why an agency will loose a sale is for lack of follow up and follow through.  How many sales opportunities are slipping through your fingers because they are slipping through your fingers?

When you import your InStar data into the Policy Analyzer, you have the ability to copy records according to a query (generally it would be those marked as "Prospect") to the prospect table.  Then, on the main menu, you will have a menu choice called "Prospects.  Click this button to go into the Prospect Manager area of the Policy Analyzer.

Here you will be able to keep notes, do marketing, set recall dates and much more!

Simply click the Recall Filter and all of your follow ups show in Recall Date order.  Then just work right down your list.

This is just the beginning of what you can do in this area.

The Future ... Where We're Going From Here

We've only just begun to add features to the Policy Analyzer.  In fact, we have a growing list of enhancements and additional tools our users have requested.  Because it's our aim to fill your automation void, we're aggressively working on these (and other) enhancements.
